DUTIES & RESPONSIBILITIES

  • Keep abreast of current trends and developments.
  • Greet all guests at all times
  • Check in/out guests and offer assistance at all times
  • Arrange any requests from guests within the boundaries as stipulated by the hotel or ensure that the Front Office team follows through
  • Ensure all AR Accounts are closed correctly with relevant documentation
  • Load Online Debtors, correctly and timelessly
  • Recruit staff according to the agreed budget and KPA’s
  • Induct and train staff
  • Conduct performance appraisals
  • Conduct progressive discipline
  • Ensure that all Front Office procedures and policies are adhered to by the Front Office team
  • Manage the float and petty cash
  • Ensure efficient and accurate filing of all documents
  • Communicate with all relevant departments at all times
  • Maintain the Health and Safety procedures of the Hotel

  • Lay and follow the Information Systems strategies and core concepts to ensure correct and best available technologies are in use at all times.
  • Create and implement backup, restore and disaster recovery plan for all servers and critical information of the group.
  • Provide next level support for all IT Systems in use by the group.
  • Identify, minimize and alert for any risk of the systems or the information, which they host.
  • Deal with all staff queries in a manner that is respectful, courteous and professional.
  • Study the industry on continues basis and import any technology or knowledge, which may assist the group.
  • Continuously train and study to improve technical knowledge.

  • Provide secretarial support, general administration and coordination services to the COO with the following portfolios: sales, marketing, HR, payroll, IT, procurement and finance.
  • Coordinate written correspondence on behalf of the COO, including the drafting of emails, typing of letters, reports, and presentations, as well as the organisation of general post.
  • General diary management and administration liaison which includes day-to-day coordination with the other national branches of the group.
  • General office and COO filing, ensuring the office remains tidy and that information remains confidential.
  • Reception duty for the office which includes message taking and attendance to general enquires.
  • Office management:
    • Office stock management and control of stationary and refreshments.
    • Courier services
    • Cleaning services
  • Other PA support to the COO and/or Management team as and when required.
